The AR Online Portal is a website that dealership customers log into in order to manage, review and pay their accounts with a dealership. This document includes directions for Users and Administrators of the AR Online Customer Portal from CarInk.
Access to AR Online Customer Portal is granted by the Customer Administrator (see Setup Portal Users in the Users tab section below).
Open an internet browser such as Chrome or Internet Explorer. Older versions of some browsers may not show all
the functionality properly, and you might also need to allow pop-ups from the payment site.
* In the Address line, enter the https:// address that the dealership provided.
The AR Customer Portal logon window opens when the application launches.
* Enter the User Name and Password the dealership setup for you.
* Click the Sign in button to open AR Portal
The Dashboard screen of the AR Portal website opens.
There is a ribbon of Tabs at the top of most screens that will vary depending on the Job Role of the assigned.
AR Portal access is granted by the Customer Administrator (see Setting Up Users)
The Edit Profile button is available in the upper right corner of all AR Portal Screens and opens
to the Profile for the current user.
The current user’s password can be reset using the Edit Profile button.
The CSV Download button will generate a file which can be opened using a spreadsheet type program,
and saved if desired.
The customer Dashboard is a quick overview of the accounts you maintain with the dealership or vehicle service provider.
Each account line has three options for viewing information specific to each account (based on user permissions):
1. Display the latest Accounts Receivable Statement to the screen as a PDF using the View AR Statement PDF
option.
2. Open the Statement Details page to view, pay and/or dispute charges: View/Pay AR Statement Details.
3. View Open AR Transactions for the account. This will include any charges and credits since the latest AR
statement as well.
Statement Screen Features
The on-screen statement details can be searched for information in any of the columns
.
Search using the Filter input field and button. Sort Rows (ascending/descending) by mouse clicking on the column
Heading. The Invoice Number links to a PDF of the invoice.
CSV Download
Save the current screen into a CSV file. This can be opened using Excel or other similar software.
* When you select the CSV Download button, you will be asked to Open or Save the file.
Both will open a spreadsheet to your screen. This can be Saved as a file to the folder of your choosing.
Use the View/Pay AR Statement option from the Dashboard to open an interactive
Statement Details page.
* View, Pay and/or Dispute individual Invoices, Pay All, change amounts to be paid, see the entire statement and totals.
Pay
* Click the ‘Pay’ button to select the invoice for payment. This will populate a checkmark in the Pay box.
The Statement Amount will populate the Amount to Pay column.
You can change the Amount to Pay. You will be asked to record a reason, then click the Done button.
Tip: Check the ‘Pay All’ box and then deselect items you don’t want to pay by un-checking the individual Pay box.
Dispute
If you wish to dispute an item, check the Dispute box and provide a reason. The amount will be removed from the
Amount to Pay columns and totals. This information will be sent to the AR administrator at the dealership for
further action.
View
The details of an individual invoice by clicking the linked Invoice Number.
This option will connect to the dealership database to display the original invoice, if available.
Tip: Sort the display order of the rows by clicking the Column Title.
This applies to all AR Portal screens
Use the View Open AR Transactions option from the Dashboard for a list of all current and open
invoices currently with the dealership, in real time.
To run a report of paid invoices that covers a specific time period:
1. Select the Reports tab at the top of the AR Online Customer Portal screen.
2. Enter the dates the report will cover and use the Go button
Setup Portal Users
The Customer Portal offers a User level of access and an Admin level. The Admin level has full access rights.
The User level has customizable access permissions. When the customer’s Portal account is first created,
there should be one Administrator already setup.
* Initial admin user should create and setup other users and/or Administrators.
For the Customer Admin user there is an additional tab (Users) at the top of the Customer Portal.
The Users page of the AR Online Customer Portal opens to a listing of all persons authorized to use the AR Portal.
Add User will open the User Detail window.
To Edit an existing User, use the Edit icon to open the User Detail window.
Delete a User using the Trashcan icon.
Set or edit the Customer’s individual User information and Portal access permissions.
Use this screen to provide the personal information for the Portal Customer User who will be viewing
statements and/or conducting payment transactions.
* Provide the username.
* Provide the personal information such as name and phone # that will appear on emails.
* Provide the email address.
